Job Description:

Generalized Responsibilities may not include all listed:

1. Administrative Support:

  • Provide high-level administrative assistance to executive team members, including calendar/ email management, meeting coordination, and correspondence.
  • Prepare reports, workflow, documentation, information review, and research with critical attention to detail.
  • Maintain confidentiality and handle sensitive information with discretion for business partners and clients.

2. Coordination:

  • Assist in recruitment efforts, including posting job openings, screening resumes, and coordinating interviews.
  • Assist with processes for clients, including visa applications, renewals, and compliance with federal legislation.
  • Stay updated on requirement policies and provide guidance to the team.

3. Project Management:

  • Oversee and coordinate various organizational projects, ensuring timelines and deliverables are met.
  • Collaborate with cross-functional teams to drive project success and utilize a CRM system.
  • Monitor project budgets and provide regular progress updates to stakeholders.

4. Customer Service & Communication:

  • Act as a point of contact for internal and external stakeholders, ensuring inquiries and concerns are addressed promptly and professionally.
  • Build and maintain strong relationships with clients, partners, and employees to support organizational goals.

Qualifications:

  • Education: Bachelor’s degree or certificate in Business or Administration, and/ or experience providing senior administration support.
  • Experience: Ideally 5 years of experience in an administrative role, with a strong focus on project management or finance.

Skills:

  • Strong organizational and time-management skills.
  • Exceptional written and verbal communication abilities.
  • Proficiency in office software (e.g., Microsoft Office Suite, HubSpot, others).
  • Independence and attention to detail.
