Job Description:

The Travel and Service Coordinator is responsible to work closely with AKA’s Field Service Team to coordinate all travel and accommodation requirements. The Travel and Service Coordinator will be responsible to ensure all required documentation is obtain prior to travel. This includes work visas/permits, passports, vaccinations, and certifications.

Position Responsibilities

  • Manage end to end travel plans efficiently and cost-effectively – airlines, trains, transport, and hotels.
  • Manage relationships with travel agencies and vendors
  • Handle credit card expenses
  • Manage AKA’s Travel Module
  • Ensure compliance in all aspects of travel procedures
  • Handle Passport/Visa requirements, Health and Insurance Requirements, Vaccination Requirements, and Certification Requirements
  • Communicate with the person traveling regularly to keep them updated on logistics
  • Manage emergency changes/cancellations in a professional and calm manner
  • Develop strategic policies and programs for corporate travel

Position Requirements

Education & Experience

  • Must be a Graduate
  • Diploma / Degree in travel & tourism would be added advantage
  • 2-9 years’ relevant experience in the travel domain
  • All appropriate educational qualifications reviewed in balance with experience

Knowledge and skills

  • Proven experience as corporate travel manager
  • Knowledge of international travel regulations, customs and currencies
  • Knowledge of Travel & Expense reporting and processing
  • Effective communication, interpersonal and customer relation skills.
  • Proficient at the intermediate level in the use of MS Office products, including Word, Excel, Outlook and Access.
  • Ability to work both effectively within a team environment and independently
  • Proven ability to manage a diverse workload while prioritizing time and resources to meet deadlines.

Communication

  • Tailor communication (e.g., content, style and medium) to diverse audiences;
  • Read cues from diverse listeners to assess when and how to change planned communication approach to effectively deliver messages;
  • Communicate equally effectively at varied organizational levels;

Understand others’ underlying needs, motivations, emotions or concerns and communicate effectively despite the sensitivity of the situation.
