The available position is for a full-time, permanent Medical Administrative Assistant with Pharmtech Inc. supporting a busy Medical Specialist in a private medical practice.
The position is based in Charlottetown, Prince Edward Island, with travel to Summerside required approximately once or twice every two weeks. This role is within a private medical office setting and is intended to be a long-term employment opportunity.
The successful candidate will provide administrative support to ensure the efficient day-to-day operation of the specialist’s practice while maintaining a high standard of professionalism, organization, and patient care.
Responsibilities:
- Electronically registering patients: take accurate and pertinent information including medication and allergy history and all contact information, check for valid health card information, and verify patients’ reason for visit.
- Maintaining up-to-date patient records within the electronic medical record system
- Explain Procedures and policies to patients
- Asking patients to provide samples when required label samples, and requisitions appropriately for processing (bloodwork, requisitions, urine samples, and swabs) and the proper handling of the medical specimens
- Prepare exam rooms, direct patients to their assigned exam rooms, and cleaning exam rooms between patients
- General office duties such as faxing, filing, answering of phone, replying to emails, sending paperwork, mails-outs
- Managing all forms of incoming and outgoing communications (faxes, letter mail, emails, diagnostic reports, any correspondence with other health care providers) while maintaining patient confidentiality
- Liaising with physician offices, hospital departments, medical laboratories, insurance companies
- Send referrals and inform patients of referral appointments when required
- Check validity of health cards via Health PEI
- Measure height and weight of patients
- Proper sterilization and storage of equipment
- Keeping exam rooms and work areas clean and tidy
- Filing /Scanning of confidential documents
- Maintaining confidentiality, privacy and always use discretion
- Stocking and taking inventory of all medical and office supplies
- Accept deliveries, take inventory of orders, and delivery office and medical supplies to other offices within the building
- Keep workspaces neat and tidy
- Other duties as required
Required skillset and attributes:
- Excellent verbal and written communication
- Technologically inclined with efficient computer skills including Word processing
- Must be able to operate an electronic medical record system (EMR) efficiently
- Basic knowledge of standard medical terminology (Asset)
- Strong organization, time-management, and multi-tasking abilities
- Prepared to work in a fast-paced and dynamic work environment
- Self-motivated, reliable, and able to work independently
- Must maintain a high level of professionalism and share a passion for excellence in patient care
- Enthusiastic and able to contribute to a positive and collegial work environment
Qualifications:
- Secondary school education
- Certificate or diploma in Medical Office Administration (Medical Office Assistant, Medical Administrative Assistant, etc) Strongly Preferred but not required
- Prior experience as a medical administrative assistant/secretary/receptionist Strongly Preferred but not required
- Knowledge of provincial CHR is a strong asset
- Criminal Record Check required
