Job Description:

As our Appointment Coordinator, you’ll play a key role in ensuring a smooth and efficient workflow within the Service Department. Your day-to-day will include:

  • Coordinating and scheduling service appointments based on customer needs and technician availability
  • Confirming upcoming appointments via phone, text, or email, and ensuring all necessary information is recorded
  • Reaching out to customers proactively to remind them of recommended or upcoming maintenance (service follow-ups and due services)
  • Maintaining and updating customer records in the dealership’s software systems
  • Preparing daily and weekly reports to support the Service Manager and department performance tracking
  • Assisting with service-related administrative tasks, such as invoice preparation, warranty paperwork, and customer inquiries
  • Working closely with the Service Advisors and Technicians to ensure seamless communication and workflow

What We’re Looking For: 

We’re looking for someone who is highly organized, personable, and enjoys helping others. The ideal candidate will have:

  • At least 1 year of experience in an administrative or customer service role (automotive industry experience is a bonus, but not required)
  • Excellent communication skills, both verbal and written, with a friendly and professional phone manner
  • Strong computer proficiency, especially in Microsoft Office (Word, Excel, Outlook) and comfortable learning dealership scheduling software
  • A positive attitude, the ability to multi-task in a fast-paced environment, and a strong sense of initiative
  • Attention to detail and a commitment to providing a high level of customer service
  • Ability to work independently and as part of a supportive team
