Conference Services Coordinator

The opportunity

Reporting to the Catering and Conference Services Manager, the Conference Services Coordinator plays a key role in bringing event and conference spaces to life — preparing rooms, coordinating layouts, and operating conference audio-visual equipment that supports each event. This role ensures every space is set up accurately and on time, delivering seamless, professional experience for guests and clients from start to finish. You will work closely alongside a fellow Conference Services Coordinator and the broader catering and conference services team, sharing coverage across concurrent events and supporting one another through busy periods.

Key responsibilities include:

  • Setting up and tearing down conference rooms, meeting spaces, and event areas according to floor plans and client requirements (tables, chairs, signage, etc.)
  • Operating and troubleshooting conference audio-visual equipment, including microphones, speakers, projectors, screens, and video conferencing systems.
  • Testing conference technical equipment prior to events to confirm proper function and resolve issues quickly during live events.
  • Coordinating with the Catering and Conference Service Manager on room layouts, timelines, and technical requirements.
  • Maintaining an organized inventory of AV and setup equipment, including basic maintenance and reporting damaged or malfunctioning items.
  • Assisting with the loading, transport, and storage of furniture and equipment throughout the venue.
  • Ensuring all setups meet workplace safety standards, including proper cable management and equipment handling.

In addition to being an extremely organized, detail oriented and personable individual, applicants should possess the following qualifications:

  • Post-secondary training supplemented by previous experience in event set up, conference services, or audio-visual technical support. AVIXA CTS certification or other audio-visual or event technology is considered a strong asset.
  • 1-2 years’ working knowledge of conference AV equipment, including video conferencing systems.
  • Strong problem-solving skills with the ability to troubleshoot technical issues under time pressure.
  • Strong interpersonal and communication skills.
  • Professional attitude and the ability to work cohesively with fellow colleagues.

Other Requirements

  • Physically ability to lift and move furniture and equipment.
  • Ability to travel.
  • Flexibility to work evenings, weekends, and varied hours based on event schedules.
