Parts & Inventory Coordinator – Maintenance Department

Permanent Full-Time Position – Summerside, PE

Position Overview:

The Parts & Inventory Coordinator is responsible for the planning, control, and procurement of maintenance, repair, and operating (MRO) parts required to support reliable plant operations. Reporting to the Maintenance Manager, this role manages approximately $2 million in MRO inventory and helps ensure critical parts are available when needed while maintaining accurate inventory records, appropriate stock levels, and effective cost control.

The Coordinator works closely with Maintenance, Production, Purchasing, and suppliers to anticipate parts requirements, support equipment reliability, minimize downtime, and continuously improve inventory performance.

Location: ADL Water St. – 79 Water St., Summerside, PE

Key Responsibilities:

Inventory Control & Planning

• Manage and control approximately $2 million in maintenance, repair, and operating (MRO) inventory.
• Establish and maintain appropriate minimum and maximum stock levels based on usage, lead times, equipment criticality, and operational requirements.
• Monitor inventory performance and investigate and resolve inventory discrepancies.
• Oversee cycle counts and annual physical inventories to maintain inventory accuracy.
• Ensure inventory records and controls are accurately maintained within the CMMS or inventory management system.

Critical Parts & Maintenance Planning

• Determine parts requirements based on maintenance schedules, work orders, equipment history, and reliability needs.
• Identify and maintain critical spare parts required to support production equipment and minimize downtime.
• Use equipment manuals, parts diagrams, specifications, and other technical information to accurately identify required components.
• Work closely with Maintenance personnel to forecast upcoming parts and inventory requirements.

Purchasing & Supplier Management

• Source maintenance parts and materials from approved suppliers based on operational requirements.
• Request and evaluate quotations considering price, quality, availability, lead time, and delivery.
• Prepare purchase requisitions, monitor purchase orders, and follow up on outstanding or urgent requirements.
• Expedite critical parts when necessary to reduce equipment downtime.
• Develop and maintain effective working relationships with suppliers and service providers.

Inventory Cost & Performance

• Analyze inventory usage and purchasing trends to identify opportunities for improved cost control and inventory efficiency.
• Minimize obsolete, excess, and slow-moving inventory while maintaining appropriate availability of critical parts.
• Track key inventory measures, including inventory accuracy, parts availability, and stock performance.
• Recommend improvements to inventory practices, storeroom processes, and parts availability.

Storeroom & Operational Coordination

• Oversee inventory control processes to ensure parts are accurately received, stored, issued, and accounted for.
• Establish and maintain effective standards for part identification, labeling, storage, and accessibility.
• Coordinate with Maintenance, Production, Purchasing, and other departments to ensure parts requirements are identified and addressed.
• Support continuous improvement and equipment reliability initiatives within the Maintenance Department.

Safety & Compliance

• Ensure maintenance inventory activities comply with applicable food safety, quality assurance, health and safety, and company requirements.
• Maintain appropriate inventory records and documentation in accordance with company standards.
• Ensure equipment components, parts, and materials are properly handled and stored.

Qualifications:

• 3-5 years of experience in inventory control, purchasing, parts management, maintenance support, or a related field.
• Diploma or certificate in Supply Chain, Inventory Management, Business Administration, Industrial
• Maintenance, or a related field is preferred; equivalent experience will be considered.
• Strong understanding of inventory control, purchasing, and stock management practices.
• Working knowledge of mechanical, electrical, pneumatic, and hydraulic components.
• Ability to use equipment manuals, parts diagrams, specifications, and other technical information to identify components.
• Experience using CMMS, ERP, or other inventory management systems.
• Experience in a food processing, manufacturing, or industrial environment is considered an asset.
• Strong analytical, organizational, and problem-solving skills.
• Ability to manage multiple priorities in a fast-paced manufacturing environment.
• Strong communication skills and ability to work effectively with varied stakeholders.
• Proficiency in Microsoft Excel and inventory reporting.
