Role Summary

The Project Operations Manager oversees maintenance, renovation, and construction projects across all residential, commercial, and vacation properties managed by Red Sands Group. This includes internal company projects and work completed for outside clients. The Manager is responsible for managing a portfolio of roughly $5 million worth of projects annually, primarily focused on residential construction with commercial and vacation properties mixed in.

The Manager handles projects from assessment and quoting through planning, approvals, execution, and closeout. This includes client relationships, budgets, timelines, profitability, subcontractors, permits, and project documentation. The role oversees maintenance operations through the Project Foreman, who directly manages the maintenance workers and daily field activities. Additionally, this role partially oversees and provides strategic guidance to the Maintenance Scheduler to ensure optimal resource allocation and full team dispatch daily.

Key Responsibilities

Projects and Clients

  • Maintain oversight of all maintenance, renovation, and construction projects, successfully driving an annual project pipeline of approximately $5M.
  • Meet with clients and stakeholders to assess needs and recommend practical, profitable solutions.
  • Prepare scopes, estimates, budgets, proposals, and schedules; follow up on quotes and secure approvals.
  • Coordinate labour, subcontractors, materials, equipment, access, and project sequencing.
  • Monitor costs, timelines, quality, and profitability through completion.
  • Keep clients informed and address concerns, changes, and delays promptly.
  • Manage change orders, deficiencies, inspections, sign-off, and project closeout.
  • Determine permit and inspection requirements, submit applications, obtain required authorizations, and coordinate with municipalities and regulatory authorities.
  • Maintain complete and accurate project records.

Financial and Subcontractor Management

  • Obtain and compare supplier and subcontractor pricing.
  • Ensure quotes include expected costs, contingencies, and required profit margins.
  • Track project spending, address budget variances, and ensure additional work is approved before proceeding.
  • Source, schedule, and manage qualified subcontractors.
  • Confirm subcontractors meet company standards for insurance, safety, quality, reliability, and professionalism.
  • Review invoices against approved scopes and completed work.

Maintenance & Scheduling Oversight

  • Oversee maintenance operations through the Project Foreman.
  • Partially oversee the Maintenance Scheduler, providing ongoing guidance on overall project needs, critical timelines, and priorities.
  • Collaborate with the Maintenance Scheduler to ensure the field team is efficiently booked and actively deployed on job sites every day.
  • Set priorities, budgets, service standards, and performance expectations.
  • Review staffing, workload, urgent issues, recurring problems, and upcoming work with the Foreman.
  • Support hiring, training, performance management, and resource planning.
  • Ensure the Foreman retains responsibility for daily scheduling, work assignments, workmanship, and direct supervision of maintenance workers.

Reporting and Improvement

  • Maintain a current overview of project status, budgets, risks, and upcoming work.
  • Provide regular updates to the Director of Operations.
  • Improve systems for quoting, scheduling, project tracking, and client communication.
  • Ensure projects comply with contracts, permits, safety requirements, and company standards.

Qualifications and Attributes

  • Proven experience in residential construction, renovations, property maintenance, or project management, with a track record of handling high-volume project portfolios.
  • Strong estimating, budgeting, scheduling, and subcontractor-management skills.
  • Familiarity with permits, inspections, and municipal processes.
  • Strong client service, sales, negotiation, and communication skills.
  • Financially aware and focused on project profitability.
  • Organized, detail-oriented, technologically capable, and calm under pressure.
  • Able to manage multiple projects, guide scheduling personnel, and adapt to changing priorities.
  • Professional, decisive, accountable, and solutions-focused.
  • Valid driver’s licence.

Position and Compensation

Position: Full-time, salaried position.
Salary: $56,000 – $64,000 annually, commensurate with experience and qualifications.
Benefits: Health and dental benefits.
Retirement: Standard company pension options, including employer matching.
Location: Primarily office-based, with travel to properties, job sites, client meetings, and municipal offices as required. Personal vehicle required and milage paid.
Flexibility: Occasional remote work may be permitted, but this is not a routine work-from-home position.
