Purchasing Administrator

Permanent, Full-Time | ADL Water St. | Summerside, PE

Position Overview: 

The Purchasing Administrator provides day-to-day transactional and administrative support for ADL’s procurement function, with a focus on purchase order creation and tracking, maintaining accurate records, and coordinating routine follow-up with suppliers and internal departments.

The role supports the timely and accurate flow of procurement information and helps ensure materials and supplies required by ADL’s manufacturing operations are properly tracked throughout the purchasing process.

This position offers an opportunity to gain practical experience in procurement while developing knowledge of purchasing systems, supplier coordination, and manufacturing supply requirements.

Location: ADL Water St., 79 Water St., Summerside, PE

Key Responsibilities:

  • Create and process purchase orders and change orders, ensuring information is complete and accurate.
  • Track open purchase orders, supplier confirmations, delivery dates, and outstanding items.
  • Follow up with suppliers and internal departments regarding order status and routine purchasing matters.
  • Maintain accurate procurement records, supplier information, pricing, and purchasing data.
  • Review purchasing documentation, identify discrepancies, and assist with follow-up as required.
  • Assist with obtaining quotations and gathering supplier or product information to support purchasing activities.
  • Support improvements to procurement processes, systems, and reporting.
  • Develop working knowledge of ADL’s purchasing processes, systems, supplier requirements, and manufacturing needs through day-to-day procurement activities.
  • Perform other related duties as required.

Qualifications:

  • Post-secondary education in Business Administration, Supply Chain, Procurement, Accounting, or a related field is considered an asset.
  • Previous experience in purchasing, administration, inventory, accounting, or a related environment is considered an asset.
  • Strong attention to detail and commitment to accuracy.
  • Strong organizational skills with the ability to manage multiple priorities and follow up on outstanding items.
  • Strong written and verbal communication skills.
  • Comfortable working with numbers, records, and detailed information.
  • Proficiency with Microsoft Office, particularly Excel.
  • Ability to learn and follow purchasing processes, record-keeping requirements, and internal tracking tools.
  • Strong interpersonal and problem-solving skills.
  • Ability to work independently while collaborating effectively with internal departments and suppliers.
