Job Description:

We are seeking a full-time, permanent Medical Administrative Assistant to join a collaborative specialist practice. The successful candidate will work directly with the physician while being an integral part of a team that includes a nurse practitioner and other administrative professionals. This position requires a strong team player who values communication and cooperation in a fast-paced medical environment.

Key Responsibilities:

  • Manage front desk operations: greeting, registering, and directing patients.
  • Coordinate and maintain a busy schedule of office visits and hospital procedures using an electronic medical record (EMR) system.
  • Handle all incoming and outgoing communications, including referrals, correspondence, diagnostic reports, and emails, while ensuring strict patient confidentiality.
  • Maintain accurate and up-to-date patient records within the EMR system.
  • Liaise with medical offices, hospital departments, laboratories, insurance providers, and pharmaceutical companies.
  • Perform general office duties: answering phones, sending mail, faxing prescriptions, preparing and cleaning exam rooms between patients.
  • Monitor and maintain office and medical equipment inventory and ensure workspaces remain organized.
  • Medical billing experience is not required but considered an asset.
  • Perform other duties as required to support the smooth operation of the practice.

Qualifications:

  • Ability to work independently while contributing to a collaborative team.
  • Previous experience in a medical office or healthcare setting preferred.
  • Proficiency with electronic medical record systems and general computer skills.
  • Strong organizational skills and ability to manage multiple tasks in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and demonstrate professionalism at all times.
