Job Title and Overview
The Office Administrator provides essential administrative and organizational support to ministry personnel, staff, church committees and volunteers. This role ensures the smooth operation of the church office while supporting communication within the congregation and the broader community.
We are looking for someone who brings strong interpersonal skills, attention to detail, and a thoughtful, respectful approach to confidential matters. The ideal candidate is adaptable, organized, and comfortable managing a variety of tasks in a collaborative, community-focused environment.
Key Responsibilities
Welcoming & Communication
- Serve as the first point of contact for the church office, responding to inquiries in-person, by phone, and online
- Share messages and information clearly with staff, ministry personnel, and congregation members
- Support communication efforts, including emails, newsletters, and bulletins
Administrative Support
- Provide administrative assistance to ministry personnel, staff, and church committees
- Prepare and format documents such as weekly bulletins, special service bulletins, newsletters, minute books, and annual reports
- Maintain organized filing systems and accurate records
Office Coordination
- Help ensure the office runs smoothly by managing supplies, equipment, and incoming/outgoing mail
- Maintain calendars, schedules, and internal records
- Support the coordination of church activities and events
Financial & Records Support
- Assist the Treasurer with donation records and reporting using PowerChurch
- Manage e-transfers and prepare contribution statements and tax receipts
- Maintain accurate records for members, events (weddings, baptisms, funerals), and other church activities
Facility Rentals & Scheduling
- Coordinate the use of church spaces by maintaining schedules and responding to rental inquiries
- Prepare invoices and receipts and keep rental records organized
- Help ensure clear communication between groups using the space and church staff
Community Support
- Assist with congregational communications and outreach efforts
- Support pastoral care coordination and fundraising initiatives as needed
- Help maintain a welcoming and organized environment for all who engage with the church
Qualifications and Skills
- Completion of high school, with additional training or experience in office administration
- Proficiency in common office software (e.g., Google Workspace, Microsoft Word, Excel, Mailchimp) and comfort with digital communication tools
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple tasks with care and efficiency
- A respectful, professional approach to handling confidential information
Compensation and Benefits
- $21.00/hour plus health, pension and vacation benefits as per the United Church of Canada Guidelines
- Office hours are 30 hours/week; 9-3, Monday to Friday (start and end time may be negotiable)
- Start Date: June 15, 2026
