Job Summary

Key Murray Law Firm is seeking an Office Support Staff Personnel for our Charlottetown office for a full-time, permanent role. The duties of an Office Support Person include helping to ensure smooth running of the law firm by participating in daily runs and offering support, while also assisting with the overflow of administrative work related to drafting legal documents, trial preparation, property and business transactions, and many other areas to help lawyers with the delivery of legal services.

The successful applicant is expected to be organized, efficient and productive, while professional and friendly. Proficiency in Microsoft Word, Excel, Outlook and/or other programs are required. Experience in performing bank deposits and general bookkeeping skills would be an asset. A valid driver’s license and access to reliable transportation is required.

Summary of Responsibilities

Throughout their daily work, an Office Support Staff Personnel is responsible for a variety of duties. Working with a dynamic and collaborative team, you will:

  • Answer various communications throughout the day and relay communications as required.
  • Retrieve mail and participate in daily runs to the courthouse, registry office, daily banking activities, etc. Exposure to various weather elements is to be expected on these daily runs.
  • Cover reception as required.
  • Perform general administrative duties, including photocopying and binding.
  • Provide additional support to lawyers during real estate closings, court hearings, trials, and will executions.
  • Open and close client files and organize and maintain legal files.
  • File documents with the court and various government offices.
  • Act as a liaison between the firm and other legal firms, government departments, courthouse, and banks, providing clear and timely communication on the status of transactions.
  • Monitor copier/printer supplies, such as paper, toner, and ink, and replenish those as required.
  • Perform general office and administrative tasks.
  • Other duties as required.

Qualifications

  • Experience in an office environment. Legal office experience is an asset.
  • Proficiency with MS Office, especially Excel and Adobe Acrobat.
  • Strong verbal, written and interpersonal communication skills with a demonstrated ability to provide superior customer service.
  • Confidence in answering phones and other communications.
  • Excellent analytical and problem-solving skills with attention to detail.
  • Accurate and efficient data entry and keyboarding skills.
  • Self-starter with the ability to work independently in a dynamic environment.
  • Flexible, reliable and works well in a team environment.
  • Strong organizational and time management skills with the ability to meet tight deadlines.
  • Valid driver’s license and access to transportation.
  • Bondable.

Salary and Benefits

Working Hours

Salaried Position: Monday – Friday, 9 am to 5 pm
