Job Description:

Office Administrative Assistant – Full Time

RSI is looking to hire a full-time Office Administrative Assistant to join our growing team. This role is a key part of our daily operations and supports both our service technicians and customers.

Responsibilities include, but are not limited to:

  • Scheduling and coordinating service calls, installations, and other field work
  • Answering incoming phone calls and emails in a professional manner
  • Providing customer service support and handling general inquiries
  • Basic troubleshooting and problem solving with customers over the phone.
  • Preparing invoices and processing payments
  • Data entry and maintaining accurate customer and job records
  • Registering HVAC units and purchasing warranties
  • Assisting with basic bookkeeping and administrative tasks
  • Communicating with technicians regarding schedules and job details
  • Communicating with suppliers for ordering parts and materials as needed
  • Processing and submitting warranty claims
  • Pulling electrical permits for installations and upgrades
  • General office organization and filing

Qualifications & Skills:

  • Previous office or administrative experience preferred
  • Experience with Sage accounting software is an asset but not mandatory
  • Strong organizational and time-management skills
  • Comfortable using computers, email, and office software
  • Clear communication skills and a friendly, professional attitude
  • Ability to multitask and work independently
