Key Responsibilities
- Responsibilities include extensive interaction with faculty, staff, students, and the public, as well as day-to-day operations, including preparing correspondence, electronic communications and reports, scheduling and organizing meetings, assisting with the faculty timetable Ensure preparation, follow-through, and accuracy of the Faculty timetable.
- Responds to student inquiries about courses and answers highly complex questions about registration, wait lists, timetables, and scheduling from students in Faculties across the College.
- Assists with administrative duties including, but not limited to: preparing spreadsheets summarizing course enrolments numbers, assisting with student surveys, scanning and compiling files, and preparation of lists, databases, and reports
- Reviews student registrations for eligibility, processes change of grade forms, and manages standing deferred requests
- Creates and maintains information databases
- Assists in organizing and offering various levels of involvement for numerous prospective student events.
Assists with staff hiring (correspondence with selection committee members and applicants, preparation of interview schedules, vetting of resumes, etc). - Support faculty with preparing course and special project materials and provide information on Department, Faculty & College policies.
- Schedule meetings, room bookings and appointments
- Answer or redirect general inquiries in person or by telephone and e-mail
- Update and maintain files, correspondence and records
- Assist with mailings and ordering of supplies and office materials
- Provide direct administrative support for events and meetings
- Perform other secretarial and clerical duties of a similar nature, as required
Qualifications:
- Undergraduate degree or combination of equivalent education and experience Administrative experience in postsecondary education setting is preferred
- Knowledge and experience of postsecondary education programs, and academic policies and procedures
- Ability to work in team and autonomously and produce high-quality work under pressure while meeting tight deadlines
