Job Description:

Applicants are invited to fill the Administrative Coordinator position at the Atlantic Police Academy (APA) in Slemon Park.  This position plays an integral role in supporting the work of the APA and contributing to the goals of other related services throughout Holland College. Reporting to the Executive Director, the successful candidate will be responsible for the following duties.

  • Monitoring all APA programs and administrative budgets using Oracle Financial.
  • Responsible for the control and daily transactions for the school operating budgets.
  • Prepare budget forecasts for review/approval of Executive Director.
  • Prepare budget and expenditure transfers for programs and administration.
  • Prepare and authorize all purchase requisitions.
  • Code and approve all invoices for payment.
  • Monitor all in-service and contract training and prepare invoice information.
  • In collaboration with the Executive Director calculate the training cost for all in-service and contract training.
  • In collaboration with the Executive Director and Deputy Director determine and prepare yearly program student costs.
  • Ensure the Executive Director’s office operates effectively and in a professional manner.
  • Determine the start, end, and On-the-Job Training dates for all core programs.
  • Correspond with external agencies across Canada including governments, police departments, correctional institutions, and other Public Safety agencies.
  • Prepare and maintain documentation for the annual PEI Police Act audit.
  • Coordinate and oversee program graduations ensuring ISO documents, certificates and other documentation are completed.
  • Participate in strategic planning sessions with the Director and Deputy Director.
  • Prepare and approve hiring forms for short term employees.
  • Supervise two administrative and support employees.
  • Other duties as required.

Qualifications:

  • Post-Secondary education in Business/Accounting coupled with a minimum of three (3) years of experience.  An equivalent combination of education and experience may be considered.
  • Proficient computer skills including use of spreadsheets and accounting software.
  • Experience working with accounting principles and procedures.
  • Ability to process numerical data rapidly with meticulous attention to detail.
  • Strong and tactful communication (verbal/written), organizational and multitasking skills.
  • Dependable with proven ability to work accurately and efficiently under pressure and deadlines.
  • Must handle confidential information with the highest level of discretion.
  • Ability and willingness to work in a team environment.
