Administrative Support – Arts, Media, Community Studies Program
Full-Time Continuing Position Commencing ASAP
The Arts, Media, and Community Studies Department is seeking a highly skilled and service-oriented individual for the position of Administrative Support. Reporting to the Program Manager, you will work closely with the College’s SOPA, School of Visual Arts and Community Studies students (from their application to graduation) as well as oversee and perform administrative duties including the provision of front-line reception services and support to the Program Manager. The ideal candidate will:
- In conjunction with the Admissions Office, communicate with students on program inquiries and assist them with the application and enrolment processes.
- Provide information about the department and programs, prepare, and distribute information packages, and direct inquiries to the appropriate individuals.
- Perform clerical and routine accounting duties.
- Schedule meetings and appointments, compile background material, prepare agendas, attend meetings, record, and distribute minutes.
- Assist program manager and learning managers in preparation of student documents, meeting minutes, ISO forms, advisory meetings, department meetings.
- Assist with monitoring, tracking, and reconciling of accounts.
- Compose/prepare routine correspondence, prepare forms (budget, employment, time sheets, etc.) and reports.
- Manage student attendance.
- Communicate with students, staff, clients, and public by phone, in person, by email, or through the mail.
- Other duties as may be assigned
Qualifications
- Community college diploma in business or office administration with a minimum of two years of recent related administrative or office management experience. An equivalent combination of education and experience may be considered.
- Excellent oral, written, and interpersonal skills.
- Proficient computer skills using a variety of software applications including Microsoft Word, Excel, Outlook.
- Proven ability to work independently and as part of a team.
- Exceptional organizational skills.
- Demonstrated ability to maintain confidential and sensitive information.
- Must be able to multi-task and work well under pressure to meet deadlines.
