Job Description:

Softball PEI (SBPEI) is looking for a motivated, knowledgeable, and values-driven individual who shares our vision and goals to join our team as Executive Director.

Position Overview

The Softball PEI Executive Director is a dynamic, results-oriented leader who works closely with the Board of Directors, member associations, leagues, provincial teams, Softball Canada, government partners, sponsors, and community stakeholders.

This role requires strong softball knowledge, proven fundraising ability, and the capacity to lead the organizationโ€™s growth both on and off the field.

Goals / Objectives

The Executive Director is the key figure in steering SBPEI toward long-term sustainability and success in alignment with the strategic direction set by the Board of Directors.

  • Provide leadership and guidance in the organizationโ€™s day-to-day operations.
  • Grow participation in softball across the province and enhance access to programs at all levels.
  • Lead the development and implementation of Long-Term Athlete Development (LTAD) pathways for softball.
  • Support and enhance recreational, competitive, and high-performance softball programs.
  • Strengthen financial sustainability through fundraising, sponsorships, grants, and partnerships.
  • Build strong relationships with government departments, Softball Canada, schools, sponsors, and other Provincial Sport Organizations.
  • Promote softball through effective use of social media, the SBPEI website, and traditional media.

Primary Duties and Responsibilities
Leadership & Governance

  • Work with the Board of Directors to develop and implement a strategic plan that advances the mission and vision of SBPEI.
  • Advise and support the Board in matters related to athlete, coach, official, and program development.
  • Identify, assess, and communicate internal and external issues impacting softball in PEI.
  • Represent SBPEI at provincial, regional, and national meetings.
  • Oversee the efficient and effective day-to-day operations of the Association.
  • Draft and review organizational policies and procedures for Board approval.
  • Support the Board by preparing meeting agendas and providing timely and accurate reporting materials.

Human Resources Planning & Management

  • Determine staffing (paid and volunteer) requirements to support program delivery.
  • Supervise and support office staff, contractors, and key volunteers.
  • Ensure clear role descriptions, performance expectations, and annual evaluations are in place.

Financial Planning, Fundraising & Management

  • Work with the Board and Treasurer to prepare and manage a comprehensive annual budget.
  • Lead and support fundraising initiatives, including sponsorship development, grant applications, and fundraising events.
  • Build and maintain relationships with sponsors, donors, and funding partners.
  • Ensure sound financial controls, bookkeeping, and accounting practices are followed.
  • Provide regular financial reports to the Board on revenues, expenditures, and fundraising outcomes.

Community Relations & Advocacy

  • Communicate regularly with member associations, leagues, and stakeholders to keep them informed and engaged.
  • Act as an advocate for softball in PEI at local, provincial, and national levels.
  • Collaborate with schools, municipalities, and community partners to grow the game.

Risk Management

  • Identify and assess risks to participants, staff, volunteers, finances, facilities, and organizational reputation.
  • Implement and monitor policies and practices to mitigate risk and ensure safe sport standards.

Qualifications

  • Degree in Sport Management, Business, Kinesiology, Physical Education, or equivalent experience.
  • Strong knowledge of softball (playing, coaching, officiating, or administration experience considered a major asset).
  • Demonstrated experience in fundraising, sponsorship development, or grant writing.
  • Proven leadership experience, preferably within a sport or non-profit organization.
  • Strong organizational, interpersonal, and relationship-building skills.
  • Excellent written and verbal communication skills.
  • Experience in policy development, program planning, and evaluation.
  • Understanding of the non-profit sport sector and volunteer-based organizations is a strong asset.
  • Ability to work flexible hours, including evenings and weekends, as required.
