Job Description:
Job Summary: The Administrative Assistant will provide a variety of office support services, including clerical tasks, customer service, and general administrative duties. This role is integral in ensuring smooth office operations and supporting management and staff to achieve company goals.
Key Responsibilities:
- Provide comprehensive administrative support to the Sales, Engineering, and Production departments, ensuring seamless communication and workflow across teams.
- Perform clerical duties including organizing and maintaining filing systems, managing office supply orders, preparing documents, and taking meeting minutes as needed.
- Answer phone calls and welcome visitors to Charlottetown Metal Products, ensuring a professional and welcoming experience.
- Prepare, print, and distribute drawing packages to relevant stakeholders in an accurate and timely manner.
- Enter and update data in the company’s ERP system, ensuring accuracy and consistency.
- Take a lead role in coordinating and executing staff functions, ensuring successful planning and delivery of events.
- Facilitate the distribution of company communications to ensure timely and efficient dissemination of information.
- Perform various town errands, including handling mail, banking, and other administrative tasks as required.
Qualifications:
- Exceptional communication and interpersonal skills, with the ability to interact professionally with both internal teams and external clients.
- Completion of post-secondary education in an accredited Administrative Assistant program, or equivalent experience in an office administration role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a strong working knowledge of office software and tools.
- Strong proactive mindset, with the ability to anticipate needs and demonstrate meticulous attention to detail in all tasks.
- Highly motivated and self-driven, with a keen ability to identify tasks that need completion and improve efficiency.
- Strong organizational, planning, and time-management skills, with the ability to prioritize effectively and execute tasks under deadlines.
- Demonstrated professionalism in handling interactions with employees, customers, and external partners.
- A valid driver’s license and access to a vehicle.
Work Conditions:
- Full-time, Monday to Friday.
- Occasional overtime may be required.
- Office-based role in Charlottetown, PE.
